Raw Materials Sourcing Assistant

Position based in Accra, Ghana

EAA is working to unlock the tremendous potential of the West Africa apparel industry, supporting African-owned factories to grow exports to our clients in the US and the UK. EAA focuses on developing factories in a lean, sustainable, and ethical way that sets the standard for garment manufacturing in a West African context. We work closely with government and development agencies to develop an ecosystem for industrial growth. By 2030 we aim to create 10,000 worthwhile jobs in the apparel sector in West Africa. Position overview

 

We are looking for a person who is passionate about sourcing and building strong relationships. The person will assist the Raw Materials Sourcing Assistant overseeing our raw material sourcing strategy dealing with local and international suppliers while contributing to a more transparent supply chain at the global level. This is the perfect role for someone looking to broaden and challenge their experience by developing the apparel industry in West Africa in a fast-paced environment. The following shall constitute the “Responsibilities”:

 

Raw Material and Trim Sourcing

  • Review all brands’ fabric and trim manuals, Bills of Materials (BOMs) prior to sourcing to ensure all requirements are met, proactively flag any concerns to the Raw Materials Sourcing Manager and get his approval before placing the final order to the supplies.

  • Responsible for negotiating and procuring all raw materials and trims produced in West Africa.

  • Visit all local suppliers and work with the EAA Compliance Manager to ensure suppliers are compliant

  • Assist the Raw Materials Sourcing Manager in offshore sourcing

  • Ensure style tools are updated with correct RM prices and BOM’s are correct

  • Suggest improvements for existing tools, develop new enhanced / error proof tools for collecting and uploading data onto the drive

  • Build strong relationships with suppliers thanks to excellent communication

  • Ensure the finance team is given all the information they need to make payments on time for local sourcing and that payments are accurate compared with P&L or an explanation given

  • Ensure the factory teams have the correct information on incoming stock to be able to update their inventory trackers

  • Ensure all sampling fabric and trims that are in the EAA office are cataloged, labeled and stored correctly for easy finding and protection.

  • Update and maintain the shipment tracker for all the imported materials 

Critical path Management

  • All orders are placed on time and followed up to ensure on time delivery to the factories and clients.

  • Collate all the inputs for the trim cards, buying and PP samples to ensure they are with accounts team on time for handover to the factories on time

  • Attend all CP meetings on time and ensure all elements related to RM sourcing are up to date on the CP

Logistics Management

  • Work with the Logistics team to ensure the logistics tracker is up to date for all incoming RM shipments

  • Work closely with the factories to systematically update upcoming shipment status.

 

Qualifications & Attributes

 

  • At least 3 years’ experience in sourcing, client management, communication, procurement, supply chain, business development and administration 

  • Strong knowledge of Microsoft office especially Excel

  • Outstanding cross cultural communication and presentation skills

  • Exceptional critical thinking and flexibility to adapt to the changing needs of the business and an entrepreneurial attitude

  • Ability to take initiative, solve problems and make decisions within job scope and beyond. 

  • Passion for working in a company with a social mission and building local capacity

  • Evidence of the following characteristics: humble, self-aware, resilient, adaptable, poised, proactive, persistent, resourceful, able to work under pressure and respect deadlines, strong at building relationships and resolving problems, an active listener, a team player who is fun to work with, and full of integrity

  • Fluency in English
